Construction materials submittal checklist

A submittal checklist for construction materials: what to collect, who reviews it, and what to hold until approval, with a tickable list.

A submittal is the product information you send for review before a material is ordered: datasheets, drawings, samples and test reports. The checklist below lists what to gather and how to track it, so that nothing is ordered before it is approved.

What goes into a submittal

At minimum: identification of the exact product, its properties, installation instructions and evidence. For structural or envelope items add detail drawings and test evidence appropriate to the project. The reviewer decides what is enough; ask them early.

Use the checklist

Tick items on the interactive checklist as you collect them. State is kept in your browser only.

Keep a submittal log

List each item with: number, product, date sent, reviewer, date returned, status. The log tells you which orders are blocked. Pair it with your procurement schedule, because a rejected submittal moves the order date.

Samples

For visible finishes, samples avoid disputes. See the sample approval workflow.

Substitutions

If a supplier offers a different product, treat it as a new submittal and record it: recording substitutions.

Filing

File approved submittals with the purchase order so the delivered goods can be checked against them at receiving. See receiving checklist and organizing product documentation.

Approvals and code

Product approval and code compliance are determined by the engineer of record and the local authority, and sometimes by listing bodies. This page does not state that any product complies; confirm with them.

Questions people ask

What is a submittal?

A package of product information (datasheets, drawings, samples, test reports) sent for review before the product is ordered or installed.

Who reviews submittals?

Usually the design team and, for structural items, the engineer of record. Local authority rules may add requirements.

When should submittals be sent?

Early enough that review and any resubmission fit before the order date.

Does approval mean the product meets code?

Not by itself. Confirm with the engineer of record and the local authority.
