Construction materials receiving checklist

What to check when materials arrive on site: documents, quantities, condition, labeling and storage, plus how to record and claim for problems. Tick items as you go.

Receiving is your last chance to catch wrong, short or damaged materials while the carrier and supplier are still accountable. A consistent check at the gate takes minutes and prevents long disputes. Use the checklist below and file the results with the order.

Prepare before the truck

Have the purchase order and approved submittals available, a safe unloading area, and a storage place protected from rain and ground moisture. Brief the person who will receive.

Check on arrival

  • Match the delivery note to the purchase order.
  • Count by the unit on the order, not by eye.
  • Look for crushed packaging, wet bundles, bent or scratched components before unloading.
  • Photograph the load and any damage, with date visible.
  • Write shortages and damage on the delivery note before signing.

Verify against the approved product

Compare labels, model numbers and finish with the submittal. If it differs, treat it as an unapproved substitution and see recording substitutions. Spot-check dimensions and coating or finish.

Documents

Confirm the shipment carries the documents the order required (certificates, test reports, installation instructions). File them: organizing product documentation.

Store correctly

Follow the manufacturer guidance. Keep steel off the ground and out of standing water, protect boards and insulation from moisture, and stack within safe limits. For site safety practice, consult OSHA or your local equivalent.

Report and claim

Notify the supplier in writing the same day. Include photographs, delivery note and order reference. Note claim time limits in the contract (purchase order checklist).
