Long-lead construction materials planning

Long-lead items decide the construction programme. Identify them early, order against approved specifications and track them separately. Use the editable lead-time estimator.

A long-lead item is any material whose approval, manufacture and delivery take long enough that ordering it late delays the project. Planning them means finding them early, locking their specification, ordering with clear change terms and tracking them apart from routine purchases.

Find them early

Read the specification and ask each supplier: "From approved order to delivery on site, how long, and what could extend it?" Flag every answer that exceeds the gap between your order date and need date. These are your long-lead items.

Typical drivers of long lead

  • Made-to-order components, such as windows, doors or prefabricated panels.
  • Items made abroad and shipped.
  • Products needing sample, mock-up or approval rounds.
  • Custom finishes or coatings.

Whether any given item is long-lead depends on the supplier, route and season. Confirm in writing.

Estimate with the tool

Edit the weeks in the tool to match what your supplier tells you. The total and range show how many weeks before the site date the decision must be made. The default values are illustrative placeholders.

Lock specifications

Design changes after ordering are costly. See design freeze for how freeze points work with factory-made components, and design-to-delivery handoffs.

Order terms to agree

  • Deposit and payment milestones.
  • Production slot confirmation and notice of delay.
  • Remedy if delivery is late.
  • Storage and insurance during transit.

See the purchase order checklist.

Track weekly

Keep a separate list for long-lead items with the current promised date and the last supplier confirmation. Fold it into the procurement schedule.
