Construction RFQ template download

A free construction RFQ template builder: fill in the fields, copy the text, and send suppliers the same clear request so their quotations can be compared line by line.

Use the builder on this page to assemble a clear request for quotation, then copy it into an email or document and send the same text to each supplier. A good RFQ describes the item precisely, states delivery and document requirements, and tells suppliers how quotes will be compared. It does not ask for design advice or state your budget.

How to use the builder

  1. Fill in each field in the tool. Leave blanks where you do not yet know, and decide before sending whether that is acceptable.
  2. Copy the generated text.
  3. Attach the specification, drawings or schedule and any photos.
  4. Send the identical request to every supplier on your shortlist (how to create one).
  5. Log answers to questions and share them with all bidders.

What each field is for

FieldWhat goes wrong if vague
SpecificationSuppliers quote different products and prices cannot be compared
QuantityPrice breaks and minimum orders are unclear
Delivery termsOne quote includes freight, another does not
Required documentsYou pay for goods and cannot show what they are
AlternatesSubstitutions arrive unpriced and unapproved
DeadlinesLate quotes force rushed decisions

A longer treatment, with examples, is in how to write a construction materials RFQ. For terminology see request for quotation and how it differs from a request for proposal.

Wording tips

  • Say "please quote" and "please state", not "we expect". Keep it factual.
  • Name the standard or test by number when you rely on one, and ask the supplier to confirm it in its answer. Standard text is published by bodies such as ASTM and ISO.
  • Ask suppliers to separate material price, freight, duties and handling so you can build a landed total (delivered versus factory price).
  • Do not claim code compliance in the RFQ. Ask the supplier what it can document and take the question of suitability to the engineer of record and the local authority.

After the quotes arrive

Put answers into one grid. The scope comparison worksheet and comparing supplier quotations show how, and the scorecard helps rank non-price factors. Before issuing a purchase order use the purchase order checklist.

Keep the record

File the sent RFQ, attachments, questions and answers, and every response in your document library. If a quote later turns out to differ from what was delivered, that record is what lets you resolve it calmly.

Questions people ask

Is this a legal document?

No. It is a request for pricing. Have your adviser review contract terms before you commit to a purchase.

Should I include my budget?

Usually not. Ask for the supplier's price on your specification.

What attachments should go with the RFQ?

Specification, drawings or schedule, delivery location and the list of documents you require with the quotation.

Can I change the fields?

Edit the copied text freely before sending. Keep each supplier's request identical so comparison is fair.
