Request for quotation

A request for quotation (RFQ) asks suppliers or subcontractors to price a clearly defined item or scope, so the buyer can compare prices on equal terms.

A request for quotation (RFQ) asks suppliers or subcontractors to price a clearly defined item or scope, so the buyer can compare prices on equal terms.

What request for quotation means

An RFQ is a buyer’s document inviting suppliers to quote a price for a specified product or defined scope. Because the requirement is already fixed, the main variable is price, along with delivery terms and lead time.

A usable RFQ states quantity, specification or drawing reference, delivery location, required date, payment and inspection terms, and the deadline to respond.

A plain example

A builder needs cold-formed steel track and studs to a stated section list. It sends the same RFQ to several suppliers asking for unit price, freight, lead time and quote validity. Replies are compared on a like-for-like sheet, and the winner receives a purchase order.

Why it matters

A vague RFQ yields quotes that cannot be compared, with hidden exclusions. A precise one saves weeks. Recording what each supplier was asked also helps if a dispute arises over what was included.

Common confusion

Use an RFQ when the requirement is known. Use a request for proposal when you want suppliers to propose the approach as well as the price, and an RFI when you need clarification rather than a price.

Practical checklist

Before sending an RFQ, prepare the pack so every supplier prices the same thing.

  • Attach the specification extract, drawings and quantities, with revision numbers.
  • State the delivery point, required date and any staged delivery needs.
  • Ask each supplier to list exclusions, lead time and how long the price stays valid.
  • Request freight, packaging and documentation costs separately so comparisons are fair.
  • Set a clear deadline and a single contact for questions, and share answers with all bidders.

Questions people ask

What is the difference between an RFQ and an RFP?

An RFQ prices a defined requirement. An RFP asks suppliers to propose a solution as well as price.

Is an RFQ binding?

Usually the quote is an offer and the RFQ is not a commitment to buy. Terms depend on the documents, so confirm them.

What should an RFQ include?

Specification, quantities, delivery terms, required date, validity period and response deadline.
