Prepare your business for time away
Founder retreat readiness checklist
A readiness checklist covering people, money, customers, tools and yourself. Unticked items are pre-departure tasks, not reasons to cancel.
You are ready for a retreat when the business can run without your daily input for the length of your absence, your team knows who decides what, and you have a plan for the first week back. This page gives a readiness checklist you can tick through, followed by how to read the result.
What readiness means
Readiness is not having no problems. It is knowing which problems can wait, which need a named owner, and which need you. A retreat taken without this tends to end early, or turns into remote work from a nice location.
Use the checklist
The interactive checklist on this page covers people, money, customers, tools and yourself. Mark items honestly. Unticked items are tasks for the weeks before you leave, not reasons to cancel.
How to read your result
- Most people and money items done: you can leave; finish the rest in the final week.
- Gaps in decision rights: fix these first, they cause the most interruptions.
- Gaps in personal readiness: speak to your clinician if you plan hard training, and tell your family your schedule.
Items most owners underestimate
Approval limits for spending, access to bank and software accounts for a trusted second person, and a clear definition of an emergency. See How to set an emergency escalation plan before travel for the escalation plan and Business continuity checklist for a founder's retreat for continuity.
Choosing the length
Your readiness result should drive the length of absence. See 14 days vs 30 days away from the business. Lions Gate Retreats lists 14 and 30 day options in Tulum (lionsgateretreats.com, checked 2026-10-12).
A realistic timeline
Work backwards from your departure. In the last month, finish decision rights and access. In the last two weeks, run a short offline test and brief customers. In the last days, confirm travel, insurance and the emergency channel, and write the summary your team will use. Compress this only if the business is simple.
Common reasons owners cancel late
- A deal or hire lands in the window and nobody else can close it.
- Payroll or tax filings were never mapped to dates.
- The team was told too late to adjust.
Each of these shows up on the checklist, which is the reason to use it early. If several items stay unticked, consider moving the dates instead of forcing the trip.
Questions people ask
How early should I start preparing?
Start as early as you can. Many owners begin several weeks ahead because delegations take time to test.
What if I fail the checklist?
Treat gaps as a work plan, or consider a shorter first trip.
Do I need a lawyer or accountant?
For authority limits or banking changes, consult your accountant or attorney.
