Specification

A specification is the written part of the construction documents that sets the required materials, standards, workmanship and testing, complementing the drawings.

A specification is the written part of the construction documents that sets the required materials, standards, workmanship and testing, complementing the drawings.

What specification means

A specification is the written description of quality: which materials, which standards, how installation is done, and how compliance is tested. Drawings show geometry and layout; the specification says what the thing must be made of and how well.

Specifications are commonly organised into numbered sections by trade or product type.

A plain example

A specification section for light steel framing might name the product standard, the coating requirement, fastener types and tolerances, and ask for specific submittals. The wording is the owner’s requirement; any phrase in a template is a prompt to be replaced by project-specific terms.

Why it matters

The specification is a contract document, so ambiguity becomes dispute. When drawings and specification conflict, the contract usually states which governs. Submittals and inspections are measured against it.

Common confusion

A specification should not be confused with a scope of work, which says what work is to be done and by whom, or a datasheet, which describes a product. Product standards come from bodies such as ASTM and ISO; cite the current edition and confirm with the engineer of record and the local authority.

Practical checklist

When reading a specification, a few habits prevent costly misunderstandings.

  • Find the order of precedence clause that explains which document governs in a conflict.
  • Check which edition of each referenced standard applies, and obtain that edition from its publisher.
  • Note performance requirements separately from prescriptive product requirements.
  • List required submittals, tests and inspections so they appear in the programme.
  • Raise an RFI where the specification and drawings disagree instead of choosing quietly.

Who writes the specification?

The design team, often adapting a standard format to the project.
