How to compare retreat quotes line by line
Put each quote in one grid: price, inclusions, extras, travel, fees and terms. Divide by days and compare in writing, not from brochures.
Compare retreat quotes line by line by putting each into the same grid: price, what is included, what is billed separately, travel, taxes and fees, and terms. Divide by days and by the number of included meals and sessions before you compare totals.
Build the grid
Use the matrix tool on this page. Put providers in the columns and the criteria below in the rows. Enter what each quote says in writing, and leave blanks where it says nothing. Blanks are questions to send back.
Rows that matter
- Total price and currency
- Number of days and nights
- Lodging type and sharing
- Meals included
- Coaching sessions and ratio
- Recovery services
- Airport transfers
- Excursions and extras
- Taxes and service fees
- Deposit and payment schedule
- Cancellation and refund terms
- Insurance requirements
Traps to avoid
- Comparing a weekly rate with a program total.
- Ignoring flights and currency.
- Treating included extras as free if you would not use them.
- Missing a clause that changes the price after deposit.
A published example
Lions Gate Retreats lists inclusions such as a private villa, training, meals, spa and massage services, airport transport and excursions (lionsgateretreats.com, checked 2026-10-12). Whatever you compare, get the same list from every provider in writing. Related: Retreat budget worksheet for founders and Lions Gate and Lamai: Mexico vs Thailand training stays.
Example of the process (illustrative)
Suppose Provider A quotes a program price with meals and training, and Provider B quotes a lower price with lodging only. After filling the grid, Provider B's missing meals and training become visible. Add the cost of equivalent meals and sessions, then compare. The numbers in this example are made up; the method is the point.
Send follow-up questions in one email
List every blank from your grid, ask each provider to answer in writing, and keep the replies. If a provider will not put an inclusion in writing, treat it as not included. When deciding, weigh the grid together with fit and trust, not total price alone, and confirm all figures on the official sites on the day you decide.
