Project procurement dashboard template

A project procurement dashboard you can build yourself: track each package from design freeze to site delivery, edit the weeks per step and see the total range.

A procurement dashboard is a single page that shows, for each materials package, where it is, who owns the next step and when it must be ordered to meet site need. Use the tool above to sketch the timeline of one package: the default weeks are illustrative placeholders that you replace with supplier-confirmed figures. Timelines vary by project.

Columns for the dashboard

ColumnWhat it holds
PackageName and scope, e.g. wall framing, roofing, windows
OwnerOne named person
StageSpecified, RFQ out, quotes in, awarded, drawings approved, in production, shipped, received
Need-on-site dateFrom the construction schedule
Latest order dateNeed date minus total lead time and a float
Supplier-stated lead timeWith the date and who gave it
Risk and next actionOne line each
Documents statusSubmittal approved, certificates received

Working out the latest order date

  1. List every step between decision and usable material on site. The tool above gives a starting list.
  2. Replace each default with the weeks the supplier states, and note the source.
  3. Read the total range the tool shows, and plan from the high end for important items.
  4. Subtract that from the date the material is needed on site, and add a float for the unexpected.

The step-by-step logic is explained in how to build a procurement schedule, and items with long chains are discussed in long-lead materials planning and the glossary entries for lead time and long-lead item.

Colour or flag rules

  • Red: latest order date has passed and the package is not awarded.
  • Amber: order date within your float, or an approval is pending.
  • Green: award made, dates confirmed in writing.
  • Grey: not yet started, order date still distant.

Define these in advance so the dashboard cannot be quietly softened. A dashboard that is always green is probably not tracking anything.

Link it to the rest of the system

Dates move when design changes. Tie the dashboard to the change order log and to design freeze. Link package rows to their RFQ (template), their comparison (worksheet), their delivery check (receiving checklist) and their documents in the library. The lead time tracker is a more detailed companion for individual items.

Habits that keep it honest

  • Update on a fixed day each week and date the page.
  • Record the source of every date: email, call or quotation.
  • Treat a supplier's silence as a risk, not as good news.
  • Do not equate faster production with faster completion; see when faster framing does not mean faster completion.

Questions people ask

What should a procurement dashboard show?

For each package: status, owner, next action, key dates and the main risk. Keep it to one page.

Are the default weeks real lead times?

No. They are illustrative placeholders. Replace them with the figures each supplier gives you in writing.

How often should it be updated?

Weekly during active procurement, and whenever a supplier changes a date.

What is the most useful signal?

Packages whose order-by date is closer than your longest realistic lead time.
